Employment Opportunity | Operations Manager
Access Gallery is seeking applications for the part-time position of Operations Manager (OM).
Salary per annum: $29,232 at 3 days/21 hours a week

About the position
The Operations Manager will be an administrative leader at Access Gallery. Their scope will cover the care of on-site facilities on site and safety of the gallery, managing storage and inventorying equipment + archives, managing software, subscriptions, and gallery information, and maintaining/developing the administrative and financial infrastructure of the Gallery. This role is intended to support and facilitate smooth transitions between exhibitions/programming, artistic leadership, and promote continued stability. The ideal candidate will be one looking to stay in the role long-term.
The Operations Manager (OM) will report to the Board of Directors (BoD), and work closely with the Artistic Director (see description here). The OM and the Artistic Director (AD) will work together in parallel roles, under a non-hierarchical organisational structure.
This role is designed to be 3 days/21 hours per week and should be primarily performed on site, though some flexibility to work from home can be discussed. The compensation will include an annual health benefit allowance or insurance which may be negotiated within the contract according to the hired candidate’s needs.
Responsibilities
On-site
→ Equipment inventory, storage, and care management. Ensure hardware is up to date and kept in good condition, replacing equipment when necessary
→ Liaise with landlords during renovations or facilities concerns
→ Facilitate safe access to Access Gallery equipment during installations/de-installations
→ Archive maintenance and storage
→ Ensure the facility is tidy, organised, and secure
Administrative + Infrastructure
→ Maintain the website, ensuring posts and information are up to date and in working order
→ Manage donor and membership databases
→ Maintain publications inventory, donor, square, and accounting software; ensure all are relevant, up to date on content, and working as needed
→ Manage internet, phone, and alarm subscription services
→ Research improvements in space and equipment use
Collaboration
→ Collaborate with the BoD and colleagues to achieve the organisation’s strategic priorities, mission, vision and mandate
→ Collaborate with the AD on web communication workflows, equipment/software + facilities purchases, and maintenance
→ Collaborate with the AD in grant writing by collecting relevant information and support material
→ Work in collaboration with the AD and BoD to develop routines and infrastructure that supports the daily operations of the gallery
→ Provide install support as it pertains to the gallery and equipment
Financials + Funding
→ Oversee day-to-day fiscal matters of the organisation, float, hour tracking, and equipment and facilities expenses
→ Prepare quarterly and year-end financial reports and communicate with bookkeeper
→ Support the AD in paying Artists and Speakers according to the CARFAC pay schedule
→ Track donor + member income and keep membership software up to date
→ Supporting the AD with grants, particularly pertaining to financial matters within grant applications
Communication + Community
→ On a quarterly basis, attend BoD meetings and report on current spending, facilities and administrative developments, and other pertinent topics, as well as participate in decision making processes
→ Maintain volunteers list and contact list of contractors such as installation support, designers, writers, and photographers
